1. About Happy Mind Society
Happy Mind Society apps are wellbeing and self-reflection tools. They may help users track thoughts, moods, routines, goals, learning, or personal reflections. They are not emergency services, crisis services, medical devices, or a substitute for professional medical, psychological, legal, or therapeutic advice.

2. Who this policy applies to
This policy applies to users of Happy Mind Society apps and connected services operated or developed by KH Digital Studio, including mobile apps, web apps, account services, support channels, hosted content, emails, downloads, and payment or subscription features connected to HMS.
The general KH Digital Studio app policy is available at /privacy-policy. This HMS policy provides additional wording for wellbeing and reflective content.
3. Information collected
The information collected depends on the features you use. HMS may collect:
- Account information such as name, email address, login details, display name, profile settings, and authentication records.
- Wellbeing and reflective content that you choose to enter, such as journal entries, prompts, mood check-ins, notes, intentions, habits, progress records, saved reflections, course responses, or personal goals.
- Support information such as messages, email address, attachments, and details you provide when asking for help.
- Purchase and subscription information such as product access, order details, entitlement records, invoice references, discounts, payment-provider references, and subscription status.
- Technical and usage information such as IP address, device and browser information, operating system, app version, crash or error diagnostics, request logs, timestamps, security events, and feature interactions.
- Communication preferences and consent records where you choose to receive emails, reminders, updates, or optional product communications.
4. Sensitive wellbeing content
HMS may involve information that feels private or sensitive, including mental wellbeing, emotional state, routines, relationships, personal reflections, or life circumstances. KH Digital Studio treats this content with extra care and limits its use to the purposes described in this policy.
KH Digital Studio does not sell wellbeing content. KH Digital Studio does not use private HMS journal entries, mood notes, or reflective content for AI training unless you have clearly opted in or another lawful basis applies.
5. How information is used
KH Digital Studio uses HMS information to:
- Provide app features, saved content, reflections, progress tracking, account access, purchases, and subscriptions.
- Respond to support requests, troubleshoot issues, and communicate service-related information.
- Maintain, secure, test, improve, and monitor HMS apps, websites, APIs, and backend systems.
- Process orders, subscriptions, refunds, entitlements, discount codes, invoices, and related administration.
- Prevent misuse, fraud, abuse, unauthorised access, security incidents, or unlawful activity.
- Comply with legal, tax, accounting, regulatory, and dispute-resolution obligations.
6. Legal bases
Where UK or EU data protection law applies, KH Digital Studio relies on one or more legal bases, including contract performance, legitimate interests, consent where required, and compliance with legal obligations. For sensitive-category information, KH Digital Studio relies on your explicit action in choosing to enter that information, explicit consent where required, or another lawful condition available under applicable law.
7. Optional content and user control
You choose what to enter into HMS apps. Avoid adding information that you do not want stored or processed by the service. If an app provides export, deletion, or account settings, you can use those controls. You can also request help by emailing hello@khdigitalstudio.com.
Deleting an app from your device may not automatically delete server-side account information or backups. Email KH Digital Studio if you want account deletion reviewed.
8. AI-assisted features
Some HMS features may include optional AI-assisted reflection, summarisation, coaching-style prompts, or content suggestions. If a feature sends your content to an AI provider, the app or service should make that clear in context. AI outputs may be inaccurate and should not be treated as medical, clinical, emergency, or professional advice.
KH Digital Studio aims to avoid storing unnecessary raw sensitive prompts and does not use private HMS content for AI training unless you have clearly opted in or another lawful basis applies.
9. Sharing information
KH Digital Studio does not sell personal information or wellbeing content. Information may be shared only where reasonably necessary with:
- Hosting, database, storage, email, authentication, analytics, diagnostics, security, and customer-support providers.
- Payment processors, app-store operators, banks, and fraud-prevention providers where needed for purchases, refunds, or disputes.
- AI service providers where you use an AI-assisted feature that requires sending content to that provider.
- Professional advisers, insurers, authorities, courts, or regulators where required by law or necessary to protect legal rights, users, and services.
10. Payments and subscriptions
If HMS includes paid features, payments may be processed by providers such as Stripe, Google Play Billing, Apple, or another checkout provider shown at the point of purchase. KH Digital Studio does not store full payment card numbers on its own servers.
11. Data retention
HMS information is kept only for as long as reasonably necessary for the purposes described in this policy. Retention depends on the type of information, account status, backup cycles, legal requirements, support needs, security requirements, and whether records are needed for purchases, tax, accounting, disputes, or fraud prevention.
Backups may retain deleted information for a limited period before automatic rotation. Some records may be retained where required by law or for legitimate security, dispute-resolution, or accounting purposes.
12. Security
KH Digital Studio uses reasonable technical and organisational safeguards, including HTTPS, access controls, secure password handling where accounts exist, limited logging of sensitive content, and operational security practices. No online service can guarantee absolute security, especially if you share account access or use an insecure device.
13. International transfers
Providers may process information in the United Kingdom, European Economic Area, United States, or other locations. Where required, KH Digital Studio relies on appropriate transfer safeguards offered by providers, such as contractual protections.
14. Your privacy rights
Depending on your location, you may have rights to request access, correction, deletion, restriction, portability, objection to certain processing, or withdrawal of consent. To make a privacy request, email hello@khdigitalstudio.com. You may also have the right to complain to your local data protection authority.
15. Children and young people
HMS apps are not intended for children under 13 unless a specific app clearly states otherwise and has appropriate consent or supervision arrangements. If you believe a child has provided personal information inappropriately, contact KH Digital Studio so the issue can be reviewed.
16. Changes to this policy
This policy may be updated to reflect changes in HMS apps, law, providers, or operations. The current version will be published on this page with an updated effective date.
